Administrative Assistant Job

Southport is a not-for-profit property management and development company, located 3 km south of Portage la Prairie, Manitoba, Canada. Reporting to the Manager, Facilities, the Administrative Assistant, Operations supports operational activities, which includes supporting project management, tendering, evaluating resource deployment, asset and maintenance management, as well as the software tools used to support business activities. The Administrative Assistant, Operations will leverage existing data sources to optimize operational activities using a variety of data sources/input. Additionally, this role conducts research and implements best practices and emerging technologies related to business systems and processes.

Key responsibilities:

The following key activities include, but are not limited to:

Project Management and Tendering

  • Develop, update and publish tender package in conjunction with project manager
  • Support contract award processes including:
    • the creation of Bid Summary spreadsheet
    • Receive, tabulate, and file bids
    • Contractor notification
    • Contract creation
  • Maintain template documents associated with tendering process.

Operations Support

  • Implementation of continuous improvement methodologies.
  • Under the direction of management, develops and maintains policies, plans of operations, standing operating procedures, work instructions and other materials in support of operations.
  • Sound understanding about the importance of process and procedures, as well as quality management systems.
  • Coordinate meetings, document discussion and actions, develop and circulate agendas and minutes, prepare presentations, follow-up on actions list.
  • Perform data entry related to tracking carbon emissions.
  • Implementation of continuous improvement methodologies.
  • Provide administrative support to Specialist, Airport Operations, including tracking and compiling ATC statistics, maintaining records of NOTAMs, logging SMS incidents, and assisting with other documentation and data management tasks as needed.

Administer Operational Programs Including

  • Workplace Safety and Health

Southport Business Systems and Analysis

  • Acting as super-user, provides advanced support and librarian skills to Southport’s Document Management System and other business systems (Q-Pulse, SharePoint, Inn Road, etc.)
  • Review feedback from various measurement tools (surveys, metrics, scorecards, reports, individuals, etc.) and complete one or more of; assess for potential solutions/concepts, report to stakeholders for consideration, provide implementation assistance, implement real-time adjustments.
  • Sound understanding about the importance of process and procedures, as well as quality management systems.
  • Other Duties as assigned.

Job Requirements:

  • Knowledge of process, procedures, and quality management systems.
  • Demonstrated written and verbal communication skills.
  • Minimum 3 years’ experience performing operational duties or equivalent combination of experience and education.
  • Working knowledge of and proficiency in Microsoft suite of business system applications.
  • Experience in contracting and tendering would be considered an asset.
  • Excellent time management skills and the ability to prioritize work.
  • Demonstrated ability to work with minimal supervision both independently and as part of a team.
  • Desire for growth and learning opportunities.

Administrative Support Assistant Job

Southport is looking for a full-time, term, Administrative Support Assistant, for a six-month period (through the end of July 2026), with the potential to transition into a permanent role for the right candidate. This position primarily provides administrative support to the Property Management team, while assisting with office-wide administrative needs as required. 

The Administrative Support Assistant supports daily operations, assists with tenant relations, coordinates maintenance requests, and maintains accurate property records. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment, contributing to efficient operations and positive relationships with customers and internal teams.

Key responsibilities:

Property Management Administrative Support

  • Assist the Coordinator, Properties with day-to-day property management operations
  • Act as the liaison between customers, addressing inquiries and concerns promptly.
  • Coordinate maintenance requests & issue work orders.
  • Assist with month-end administrative tasks and perform tenant move-ins and move-outs.
  • Support tracking and reporting on inventories, asset management, and allocating costs.
  • Schedule and coordinate appointments, meetings, and property inspections, as required.
  • Coordinate and monitor residential cleaning services.
  • Assist the Coordinator, Properties administering the control, organization, and distribution of facility keys.
  • Support the Coordinator, Properties in managing leases, which includes preparing documents, handling renewals, and processing terminations. Ensure all lease paperwork and deliverables are maintained accurately.

General Administrative Support

  • Provide front-desk coverage as needed by welcoming visitors in person or over the phone, directing inquiries and providing excellent customer service.
  • Administratively supports staff within the Peggy May Legacy Centre as requested by management. Including but not limited to:
    • Administering procurement, tendering, and contract services;
    • Preparing, organizing, and maintaining project documentation and filing.
  • Maintain communal areas in administrative building, ensuring they are tidy and well-stocked.

Job Requirements:

  • Post secondary degree or diploma related to the position or equivalent experience would be considered an asset.
  • Minimum two (2) years experience in an administrative role, preferred.
  • Experience in formal procurement processes would be considered an asset.
  • Ability to collaborate with various individuals including staff, tenants, and contractors.
  • Effective communication, teamwork and customer service and people skills.
  • Excellent prioritizing, multi-tasking, problem solving and organizational skills.
  • Ability to thrive in a fast-paced, dynamic environment and adapt quickly to changing priorities.
  • Willingness to learn and take initiative.
  • Proven ability to handle sensitive information with the utmost discretion.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Valid Class 5 driver’s license.
